Office Manager/Reception
The Office Manager/Receptionist will be responsible for office administration and the front reception desk. Prepare, coordinate and implement Board meetings and corporate events. Manage all aspects of phone, the phone system and office equipment. Must be able to travel at least once a quarter. Based upon experience and/or a minimal three years of managerial skills, strong coordination skills, strong interpersonal skills, Computer literate in Word, Excel and Power Point, Excellent Office skills.

Responsibilities Include :

Administration/Reception

Prepare, coordinate and implement Board meetings and Corporate Events. Manage all aspects of phone system and office equipment. Create and assist in administration training.
  • Daily organization of files and communication, and other admin duties, upon request from Executive Team, and other departments.
  • Oversee the maintenance of equipment (ie. Copiers, printers and postage machine) and appearance of all conference rooms, printer areas, and copy room.
  • Pre-approval of Purchase Orders.
  • Ensuring that the flow of assignments is handled in a fast and error-free manner.
  • Phone coverage, generate and distribute mail and faxes.
  • Handle building maintenance globally.
  • Help maintain and oversee the centralized filing system.
  • Provide internal employees with information and resources.
  • Training/employee Microsoft Office products liaison.
  • Set up and maintain new and existing vendors; strengthen relationships.
  • Vendor contact, track and order office supplies/furniture.
  • Meet and greet visitors.
  • Special assignments, as needed.
  • Must be able to travel at least once a quarter.
